Information we collect

When you contact us

If you use the contact form on our website, we collect your name, email address, company name (optional) and the content of your message. Your message is emailed to our team, and a copy is kept in the secure admin area of our website so that no enquiry is lost. If you email or call us directly, we collect the details you choose to share, such as your name, job title, organisation, contact details and the nature of your enquiry.

When you work with us

If you or your organisation becomes a client, supplier or partner, we keep business contact details and records of our communications, proposals, contracts and invoices.

When you visit our website

We use Google Analytics to understand how visitors use our website, such as which pages are viewed, how people arrive on the site, the type of device and browser used, approximate location (country or city level) and whether someone clicks to contact us. IP addresses are anonymised in our Google Analytics set-up. Our hosting provider also keeps standard server logs, which can include IP addresses, browser details and the pages requested, to keep the website secure and working properly.

Spam protection

To protect our contact form from spam, we briefly use a scrambled (hashed) version of your IP address to limit repeated submissions. This expires after one hour. Messages our filters identify as spam are kept in a short log so we can check that no genuine enquiry has been missed.

How we use your information

  • To reply to your enquiry and send you an automatic email confirming we have received your message.
  • To discuss, provide and manage our services, including proposals, contracts and invoicing.
  • To keep in touch with business contacts about our services, events and insights, where the law allows. You can opt out at any time.
  • To understand and improve how our website performs and how visitors find us.
  • To keep our website and systems secure, prevent spam and misuse, and meet our legal and regulatory obligations.

We do not sell your personal information, and we do not use it for automated decision-making that has a legal or similarly significant effect on you.

Our legal basis (UK and EU GDPR)

  • Legitimate interests: responding to enquiries, managing business relationships, keeping in touch with business contacts, understanding how our website is used and keeping it secure. We always balance these interests against your rights.
  • Contract: where we need to process information to provide services to you or your organisation, or to take steps at your request before entering into a contract.
  • Legal obligation: where we need to keep records, for example for tax and accounting purposes.
  • Consent: where we ask for it, for example to send you marketing emails. You can withdraw consent at any time.

Cookies

Cookies are small text files stored on your device. Our website uses Google Analytics cookies (named _ga and _ga_ followed by an ID) for one purpose only: to produce aggregate statistics about how our website is used, such as which pages are visited and how people find us, so we can improve it. Google sets these cookies to last for up to two years. Google signals and advertising personalisation are switched off, and we do not use advertising, retargeting or cross-site tracking cookies.

Under the UK Privacy and Electronic Communications Regulations, as amended by the Data (Use and Access) Act 2025, consent is not needed for cookies used only for this kind of statistical purpose, provided you are told about them and given a simple, free way to object. You can object at any time:

Switch off Google Analytics on this browser

This stores a small cookie (rmg_ga_optout) so we remember your choice for two years. You can also block or delete cookies in your browser settings, or install the Google Analytics opt-out browser add-on. Blocking cookies will not stop you using our website.

Who we share information with

We only share personal information with trusted service providers who help us run our business, and only as far as needed. They include:

  • Our website hosting provider (Hostinger), which hosts our website and its server logs.
  • Our email and business software providers, which deliver and store our emails, including the emails sent from our contact form.
  • Google, which provides Google Analytics.
  • Professional advisers, such as accountants and lawyers, where needed.

We may also share information if the law requires it, or to protect our rights, property or safety, or those of others.

International transfers

Because we work across the UK, Australia and the UAE, and some of our service providers operate globally, your information may be processed outside the country where you are based, including in the United States. Where we transfer personal information out of the UK or the European Economic Area, we make sure it is protected by an appropriate safeguard, such as an adequacy decision or data bridge, the UK International Data Transfer Agreement or Addendum, or standard contractual clauses.

How long we keep your information

  • Enquiries that do not lead to working together: up to two years after our last contact, unless you ask us to delete them sooner.
  • Client, supplier and partner records: for as long as we work together, and afterwards for as long as needed to meet legal, tax and accounting requirements (in the UK, usually six years).
  • Copies of contact form messages kept in our website admin area: only the most recent 200 are kept, after which older ones are deleted automatically.
  • Spam log entries: only the most recent 100 are kept, after which older entries are deleted automatically.
  • Website analytics data: for a limited period set in our Google Analytics account, after which it is deleted automatically.

How we protect your information

Our website uses an encrypted (HTTPS) connection, and we use reputable service providers and appropriate technical and organisational measures, such as access controls and strong passwords, to protect personal information from loss, misuse and unauthorised access.

Your rights

Depending on where you live, you may have the right to:

  • ask for a copy of the personal information we hold about you;
  • ask us to correct information that is inaccurate or incomplete;
  • ask us to delete your information;
  • ask us to restrict or stop using your information, including objecting to processing based on legitimate interests;
  • object to direct marketing at any time;
  • ask us to transfer your information to another organisation, where this applies;
  • withdraw your consent at any time, where we rely on consent.

To make a request, email info@rec-marketing.com. We will respond within one month in the UK and EU, or within the timeframe required by the law that applies to you. We may need to confirm your identity first.

Making a complaint

If you are unhappy with how we have handled your information, please contact us first so we can try to put it right. You also have the right to complain to a data protection regulator:

  • UK: the Information Commissioner’s Office (ICO), ico.org.uk, 0303 123 1113.
  • Australia: the Office of the Australian Information Commissioner (OAIC), oaic.gov.au, 1300 363 992.
  • UAE: the UAE Data Office.
